Deputy Purchasing and Logistics Team Leader
I. KEY GOALS AND TASKS
1. International purchasing activities
- Manage and take responsibility for the department's activities, ensuring compliance with the company’s processes and regulations.
- Manage and be responsible for negotiating foreign trade contracts and communicating with partners in terms of price, quantity, specification, technical standards, transportation conditions, insurance, delivery term, payment method, etc. in an effective and strategic way.
- Build and develop business relationships with partners.
- Supervise the handling of all claims with insurance companies and suppliers regarding products’ quality, shipment, and other conditions.
- Prepare and attend meetings with suppliers and partners.
- Periodically review and analyze the company's purchasing volume, pricing level, and market share to determine the suitable purchasing strategy.
- Provide team members with training related to products, claims, procedures, negotiation, etc.
- Be responsible for sourcing new products according to the market’s needs/trends or customers’ requirements; manage and evaluate new suppliers.
- Be responsible for supplier qualification, regularly updating related information about suppliers (capacity, products, shipment time, payment term, development orientation, etc.) to choose the most suitable suppliers.
- Recruit new members to build up a strong and solid team.
2. International & local logistics activities
- Arrange and supervise the import and export procedure.
- Monitor delivery time, quantity, and transport expenses efficiently.
- Build and maintain great relationships with the General Department of Customs, shipping lines, and strategic partners.
- Review, analyze, and propose different solutions for the overall’s Logistics efficiency enhancement.
- Negotiate and arrange bookings for cargo transportation.
- Synthesize data, analyze, and make reports related to ocean freight, inland water/road transportation cost, etc.
- Continue to update the information on any legitimate changes influencing import and export procedures, costing, trend, etc. to notify the related departments, and Board of Directors (BOD) and discuss the optimal solution and action plan.
- Supervise and carry out the customs declaration, and control import costs.
Follow up and check HS Code to make sure the correct import tax is applied for each commodity.
3. Customer services
- Handle customers’ complaints related to import and export procedures, product quality, etc.
4. Other duties
- Organize and manage the team's workload, and evaluate the team's performance.
- Synthesize, analyze, and evaluate customers and market needs to come up with appropriate strategies.
- Make periodical reports to evaluate the market and for management purposes.
- Perform other duties assigned by team leader and BOD.
- Recruit new members to build up a strong and solid team.
II. REQUIREMENTS
- At least 05 years of experience working in purchasing & logistics/procurement field for an import-and/or-export company.
- Aged from 27 to 40 years old.
- Bachelor’s degree with a major in International Business and Foreign Trade.
- Solid knowledge and understanding of customs regulations, import-export activities, international business, and sea transportation.
- Advanced English in 4 skills: Listening – Speaking – Reading – Writing.
- Proficient computer skills, including Microsoft Office Suite like Excel, Word, PowerPoint, etc.
- Good negotiation skills and strong interpersonal and communication skills with professionalism.
- Problem – solving orientation.
- Strong sense of logic, analytical skills, and critical thinking.
- Positive and growing mindset.
- Self-motivated and able to work independently under high pressure in a dynamic business environment.
- Ability to multitask, set priorities, and manage time effectively.
- Ability to work well with cross-functional teams.
* Working time: Mon-Sat (08:20am-12:10pm & 1:00pm-5:00pm); 02 Saturdays off/month. * Starting date: asap
